Spare Parts for a Maintenance Shutdown: Checklist of Critical Items

A planned shutdown is short and expensive. If one part is missing, the whole restart can be delayed. Many industrial spare parts are made to order or come from the manufacturer in Germany, so the lead time is often longer than expected. The best way to protect your shutdown is to prepare the parts list early and ask for quotes before the work starts.

VBN Vertriebs GmbH supplies original spare parts from German manufacturers to industrial plants worldwide. You send the list, we pass it to the manufacturers and send you a quote with price, lead time and country of origin.

Which parts are critical?

Ask three questions for every item on your list:

What happens if it fails? Does it stop the line, create a safety risk or only reduce output?
How long does delivery take? Is it a standard item or made to order?
How often does it wear? Look at your maintenance records of the last years.

Parts that stop production and have a long lead time come first. Parts that are cheap, available quickly and not critical can be ordered later.

Checklist by group

Drives and power transmission

Geared motors, electric motors and couplings. See how to identify a replacement geared motor from the nameplate.
Bearings, seals, shaft parts and standard machine elements.
Geared motors and electric motors for critical drives.

Conveying

Chains, sprockets and attachments: see conveyor chains and the guide on wear and replacement of chains.
Belts, modular belts and power transmission parts: belts and power transmission.

Hydraulics, valves and filtration

Hydraulic pumps, valves and seal kits.
Industrial valves and steam traps and control valves.
Filter elements for air, oil and dust collection.

Measurement and control

Safety

Safety switches and relays. See conveyor safety devices.

What your list should contain

A simple table is enough. For each item, give:

Description and, if known, manufacturer and part number.
Photo of the nameplate or the part.
Quantity needed and quantity in stock.
Where it is installed and how critical it is.
Date when you need it on site.

Timing

Start early. Lead times depend on the manufacturer and the item. Standard parts may be available quickly, while made-to-order or older items need more time. We state the lead time in every quote, so you can decide what to order now and what to hold for the next stop. If an item turns out to be discontinued, read our guide on discontinued and obsolete spare parts.

Think about the next shutdown too

During the shutdown, photograph the nameplates of removed parts and store them with your records.
Keep a short list of critical spare parts with part numbers and suppliers.
Note which parts wore out early and why.
Decide which items to keep in your own stock.

Example of a simple shutdown schedule

Early planning. List all planned work, mark critical parts and check the stock.
Request. Send the list with photos and part data. Ask for prices and lead times.
Decision. Order the long lead items first. Keep the standard items for a second order.
Tracking. Ask for the delivery dates and plan the transport to your site.
Receiving. When the parts arrive, compare the nameplates and dimensions with your list, before the shutdown starts.
After the shutdown. Record what was used, what was missing and what should be stocked next time.

Parts you only find when the machine is open

Some damage is visible only after dismantling. A short list of likely extra items saves days: seals and gaskets, bearings, fasteners, filter elements, couplings, small sensors and cable glands. Decide in advance which of these you want to hold on site, and which you ask us to quote on short notice.

Common gaps in shutdown lists

Only the main part is on the list, but not the fittings, seals or small parts that go with it.
The part number is missing, and nobody has a photo of the nameplate.
Quantities are wrong because the number of identical drives or valves was not counted.
The delivery address and the customs data for the project are not clear.

Frequently asked questions

Can I send a list with incomplete data?

Yes. Send what you have, with photos. We ask the manufacturers and tell you which items need more information.

Can you quote many items at once?

Yes. A table in Excel or a PDF list is fine.

Which industries do you serve?

Cement, food, packaging, chemical, mining, woodworking and others. See our pages for the cement industry and the packaging industry.

How fast do I get an answer?

We reply within 24 hours. Lead times are confirmed in the quote.

Request a quote — 24h response. Send us the nameplate photos, drawings or your list, and we will come back with price, lead time and country of origin.
