How to Find Discontinued and Obsolete Industrial Spare Parts

When a manufacturer discontinues a component, the machine does not stop being useful. In many cases a solution exists: a successor model, remaining original stock, a repair or a made-to-order part. The first step is always the same: collect the data and ask the manufacturer.

VBN Vertriebs GmbH works with German manufacturers of drives, sensors, valves, filters and safety technology. We pass your data to the manufacturer and send you a quote with price, lead time and country of origin. We cannot promise that every old part is available, but we tell you clearly what is possible.

Why parts disappear

The product series was replaced by a new generation.
Electronic components or materials are no longer produced.
The manufacturer changed its range or was taken over.
The part was made only for a small group of customers.

What to collect before you ask

Photos of the nameplate or marking, sharp and straight.
Part number, type designation and serial number, if visible.
Year of installation, if known.
A drawing or measured dimensions: diameters, lengths, connection and mounting data.
Photos of the part installed in the machine.
Application, operating conditions and quantity.

Five ways to solve the problem

Current successor. The manufacturer names the new model. Compare dimensions, connections and electrical data before you order.
Remaining original stock. Some items are still available for a limited time.
Repair or overhaul. Suitable for some drives and assemblies, if the manufacturer offers it.
Equivalent part. A different type with the same function and compatible data, confirmed by the manufacturer.
Made to order. For some mechanical parts, such as chains or special plates, the manufacturer builds to drawing. Read our guide on how to order a replacement conveyor chain.

What to check on a successor or equivalent

Mounting dimensions and connection data.
Electrical data: voltage, frequency, current, signal type.
Performance data: speed, torque, pressure, flow, range.
Materials and protection class for your conditions.
Software or parameter settings, where relevant.

Ask the manufacturer to confirm compatibility in writing. For drives, see how to identify a replacement geared motor from the nameplate.

Where this works best

We see most requests in plants with older equipment: cement, food, packaging, chemical and mining. Typical items are drive units, sensors, valves, filter elements and hydraulic components.

How a request usually runs

You send the photos, part number and dimensions through the request form.
We check the data and ask you for missing details.
We pass the request to the manufacturer.
The manufacturer answers with a successor, stock information, an alternative or a statement that the part is no longer available.
We send you a quote with price, lead time and country of origin, and tell you what must be compared on site.

What speeds up the answer

A clear photo of the nameplate, even if it is worn: take several angles and use side light.
The original drawing or the machine documentation, if you have it.
The name of the machine and the year it was built.
A photo of the new and the old part side by side, if you already have a candidate.

How to avoid the next surprise

Keep a record of critical parts with part numbers and photos of the nameplates.
Photograph every part you remove during maintenance.
Ask your suppliers for notice when a product is discontinued.
Consider holding one spare of the parts that would stop your line.

Special cases by type of part

Electronic drives and controllers. A successor may need different parameters or software, and may not fit the existing control cabinet. Check this with the manufacturer.
Sensors and instruments. Check the output signal, the supply voltage, the process connection and the measuring range. A successor with a different signal may need a change in the control system.
Wear parts such as chains, seals and filters. These are often identified by dimensions. Exact measurements and a drawing are more useful than a type name.
Mechanical assemblies. Single parts may be available even if the whole assembly is not. Tell us which part has failed.

Frequently asked questions

The part has no markings left. Can you still help?

Send photos, dimensions and the machine type. The manufacturer may identify the part from this. We cannot guarantee a result.

Is a successor always compatible?

No. Successors often have different dimensions or electrical data. Always compare the details before ordering.

Can you supply old stock?

Only if the manufacturer still has it. We ask and report the answer.

How long does it take?

We answer within 24 hours with the first result. Lead times depend on the manufacturer and are stated in the quote.

For planned work, see our checklist for critical spare parts before a maintenance shutdown.
